Guest Registration User Guide

SLAC looks forward to welcoming you to the Lab. Federal regulations require that you receive authorization prior to arrival at SLAC and check in upon arrival on campus.

All guests coming to campus must be hosted by a SLAC employee.  

Guests who have not been pre-approved will not be permitted on campus.

Who needs approval

All guests visiting SLAC must receive prior approval, including those visiting for:

  • Meetings or job walks
  • Lectures, tours, or site visits
  • Conferences or special events
  • Informal visits, including lunch meetings

A new approval is required for each visit, regardless of visit frequency or duration.

Please review the following to ensure a smooth visit.

What to expect

Your host must provide your unique email address to initiate your invitation. Once you receive the invitation to register from no-reply@slac.stanford.edu, you will be asked to provide your information. Foreign nationals may be asked to provide additional documentation.

By Invitation

SLAC employees can invite guests for a visit using your email. Guests receive an automated email with a link to complete a secure online form.

Event Registration

Guests attending a SLAC event, either on-site or remotely, will complete their registration at the event link. 

Information Collection

All individuals coming to SLAC must provide their personal information, including nationality, emergency contact, and home institution, as well as other information. 

Registration forms cannot be saved in-progress. Gather all required documentation prior to starting your registration. 

If additional documentation is required based on the information provided, guests will be asked to upload it via a secure portal. Personal information provided during registration is securely managed and used only to support visitor approval and site access.

Foreign National Guests

DOE Order 142.3C requires non-U.S. citizens coming to SLAC for work-related purposes to obtain approval by submitting required documentation. Specifically, guests' curricula vitae (CVs) must conform to the established guidelines. Review the entry requirements and the documents needed to complete registration. 

 

 

Access determination

Once a determination is made, you will receive an automated email with a QR code you will present upon arrival at SLAC.

At that time, you can start making necessary travel arrangements. Guest travel guidance can be found at SLAC Travel.

Arrival on campus

You are required to bring your REAL ID-compliant form of identification, or an alternative such as a valid passport, and QR code. Be prepared to present these items at the gate. 

You should then proceed to building 53 to check in and obtain your visitor badge.

Depending on the purpose of the visit, you may be asked to provide advance copies of identifying documents and complete and sign certain forms.

If you require access to radiologically controlled areas you will receive guidance from your host about additional requirements.
