Foreign National Guest Requirements
All guest access to SLAC must be initiated by a SLAC Host. Your Host will send you an invitation through the SLAC Guest Gateway using your home institution or unique business email address. You will receive automated notifications with instructions on required documentation.
Access to SLAC resources (on-site or remote) is not permitted until you provide all required documentation and receive SLAC Site Security approval.
Prior to Planning Travel to SLAC
Foreign nationals must complete additional documentation steps prior to access and arrival, especially for those from certain countries.
- Foreign nationals from Countries of Risk or State Sponsors of Terrorism may have additional requirements depending on the nature of their work or assignment.
- Coordinate with your Host well in advance. Processing times can vary.
- Contact your SLAC Host and the International Services Office (iso@slac.stanford.edu) before making travel arrangements.
Visa Sponsorship
Foreign nationals requiring visa sponsorship should contact the SLAC International Services Office at least 60 days before travel.
ISO advises on visa type, processing times, and required documentation.
Required Documentation
You will be required to provide specific documentation based on your visa type and assignment. Processing times can vary. Providing complete information and submitting documents on time helps reduce delays.
What to Expect
When your Host initiates your invitation, you will receive an email notification to complete your registration. Once you have completed the initial registration, you will receive a second email requesting additional information.
To Register
Registration forms cannot be saved in-progress. Gather all required documentation prior to starting your registration. All foreign nationals must upload:
- Scanned passport bio page, visa, and I-94
- A CV listing all education and work positions since college, including science/tech specialties, with no gaps since college (Associate’s, Bachelor’s, or equivalent). For full guidance, see CV Do's and Don'ts.
The security team will contact you directly if additional information is needed.
Access Determination
After the security team has reviewed your documentation and made a determination about your access, you will receive an email notifying you of their decision.
Arrival and Check-in at SLAC
Site entry is allowed Monday–Friday, 6:00 a.m. – 5:00 p.m. Evening and weekend check-ins are not permitted.
All foreign nationals must be prepared to present the following:
- Original passport and visa
- Supporting documentation as specified in Foreign Visitors: Documents Required for Check-in at SLAC (PDF) – requirements vary by visa type
- QR code
- A printed version of the approved CV
Travel and Expense Reimbursement
SLAC follows DOE and USCIS regulations. Non-U.S. citizens or non-green card holders must follow specific Travel Reimbursement Guidelines.
Your Responsibilities While at SLAC
- Maintain legal immigration status throughout your time at SLAC.
- Notify your Host and the VUE Center of any changes to your immigration status, visa, or planned departure date.
- Return all badges and equipment promptly.
- Comply with all DOE and SLAC requirements.
SLAC International Services Office (ISO)
ISO provides visa, immigration, and compliance guidance to foreign nationals and SLAC Hosts.
The team helps foreign nationals maintain legal U.S. status, serves as a resource on complex immigration matters, and coordinates with Laboratory Counsel and external legal advisors.
